Purchasing & quotation preparation

What to Include in a Rubber Product RFQ

A request for quotation (RFQ) gives the supplier the information needed to review your part and prepare a useful quotation. Start with the drawing or dimensions, the application and the quantity.

This checklist covers rubber vibration pads, mounts and custom molded components. If a specification is unknown, say so and describe what the part needs to do.

Send your requirement

1. Define the part and purchase requirement

Information to prepare before requesting a rubber product quotation
RequirementWhat to provide
Drawing or samplePart number, drawing revision and a dimensioned drawing. If only a sample is available, provide clear photographs of all relevant faces and say whether a physical sample can be supplied.
Dimensions and tolerancesState units, overall dimensions, holes, grooves, interfaces and critical tolerances. Mark which dimensions affect fit or assembly. A photograph alone does not define manufacturing tolerances.
Material and hardnessSpecify the rubber type or grade, Shore A hardness and allowed tolerance when known. Otherwise describe the application and environment for material review.
Application and environmentEquipment or assembly, installation arrangement, operating temperature range and relevant oil, chemical, sunlight, weather or water exposure.
QuantitySeparate sample, trial-order and expected production quantities. Include expected order frequency if known; do not combine these into one unclear number.
Packing and destinationRequired packing, labels, country and city or destination port. State a preferred Incoterm and named place if applicable so the quotation scope can be agreed.
Acceptance and timingRequired delivery date and any specified inspection, test or documentation requirements. Include the applicable specification rather than assuming a certification or performance rating.

Minimum order quantity (MOQ), sample availability, tooling charges, lead time and shipping arrangements are confirmed for each request. Tell us which requirements are fixed and which can be discussed.

2. Add installation details for vibration products

Rubber vibration pads

  • Model or surface structure, length, width and total thickness including ribs or raised dots.
  • Any cut lines, holes, profile dimensions and required contact area.
  • Equipment weight, support-point count and positions, load at each point if known, and the vibration or cushioning concern.

Review the pad selection guide →

Rubber vibration mounts

  • Connections at both ends, rubber dimensions and overall height.
  • Thread size and pitch, exposed stud length or usable female-thread depth, and mating-part dimensions.
  • Mount positions, load direction, load per mount if known, and operating speed or excitation frequency.

Review the mount selection guide →

Do not assume equal load at every support point. A model code, surface pattern or hardness value alone does not establish allowable load or vibration-isolation performance.

3. Use this RFQ template

Copy the template into your email or inquiry. Replace the prompts with your information and mark unknown specifications as “to be confirmed.”

Subject: RFQ – [rubber product / part number] – [quantity]

Hello Jincheng Rubber team,

Please review the following requirement and quote accordingly:

Product / model / drawing revision:
Drawing or sample available:
Dimensions and units:
Critical tolerances:
Rubber material / grade, if specified:
Shore A hardness and tolerance, if specified:
Application and installation arrangement:
Operating temperature and relevant exposure:
For vibration products – equipment weight, support positions,
load direction and operating speed / excitation frequency:
Trial quantity / expected production quantity:
Packing requirements:
Delivery country and city / destination port:
Preferred Incoterm and named place, if applicable:
Required delivery date:

Please identify any missing information or assumptions before
quoting. Please also confirm sample arrangements, MOQ, lead time,
and whether tooling or freight is quoted separately.

Best regards,
[Name / company]

For the website form, attach PDF, JPG, PNG, WEBP, DWG or DXF files up to 8 MB. Include the drawing revision and units in your message. If more files are needed, mention this in the inquiry.

Common RFQ questions

Can I request a quotation without a drawing?

Yes. Send the dimensions you know, clear photographs, the application and quantity. Say whether an existing sample is available. Missing specifications may need clarification before a firm quotation.

What if I do not know the material or hardness?

Describe the service conditions and any existing part specification. Mark the material or hardness as unknown and request a review. Do not assign pad material or hardness to a mount solely because both are rubber products.

What should I check when comparing quotations?

Compare the same drawing revision, material, hardness, tolerances, quantity, inspection requirements and delivery scope. Check whether samples, tooling, packing and freight are included or separate.

4. Send the information you have

Provide the core specification and identify any open questions. We will review the requirement and clarify the information needed for quotation. Final specifications and any sample approval requirements should be agreed before production.
